This notice explains how Clarewood Capital Ltd uses personal data, including when I write to you by post. If you've received a letter from me and want to know why, or you'd like me to stop writing to you, this page covers it.

If I wrote to you at your home: I buy residential property directly. I choose which homes to write to using public property records, mainly HM Land Registry sales data and the public Energy Performance Certificate register. Your name was matched to the address by a licensed data provider so the letter could be addressed to you personally. I haven't used any information about your health, finances or personal circumstances.
If I wrote to you about a company: I used public records from Companies House and HM Land Registry (including its register of company-owned land) to identify the company, its registered office and its current directors.
I rely on legitimate interests: contacting property owners who may want a straightforward sale, and dealing with any enquiry you make. I only write to a small, selected set of addresses, I keep the letters factual, and you can object at any time. If you go ahead with a sale, I'll also use your data to carry out that transaction and to meet my legal duties, including anti-money-laundering checks.
You can ask me to stop writing to you at any time. Email charlie@clarewoodcapital.com or call 07703 983480, quoting the reference number on your letter if you have it. I'll stop, and I'll keep a minimal record of your name and address on a do-not-contact list so you aren't written to again.
I don't sell your data. I share it only with service providers who help me run the business: the mailing company that prints and posts letters, my CRM and email providers, and cloud storage. If you proceed with a sale, your details go to the solicitors and, where relevant, the buyer involved. Some providers may store data outside the UK. Where they do, appropriate safeguards are in place, such as UK-approved contract terms.
If there's no response, I keep mailing data for up to 2 years from my last letter, then delete it. Enquiries are kept for up to 2 years from our last contact. Records of a completed purchase are kept for 6 years, as the law requires. The do-not-contact list is kept for as long as I send letters, so your request keeps being honoured.
You can ask for a copy of the data I hold about you, ask me to correct it, delete it or restrict how I use it. Email me and I'll respond within one month. If you're unhappy with how I've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
